The VA Roadmap

Your Step-by-Step Guide to Accessing Health Technology

The VA healthcare system is one of the most advanced in the world, but it is also one of the most complex. Many Veterans feel that the process of getting a specific medical device is frustrating, impersonal, or even adversarial.

At OPTI Vet Solutions, we help you bridge that gap. We’ve mapped out the exact pathway to moving a request from a “conversation” to a “delivery.” This roadmap is designed to empower you with the terminology and procedural knowledge needed to navigate your local VAMC or Community Care network with confidence.

Step 1
Document Your Need

The VA process is driven by clinical necessity. Before you ask for a device, you need to show your care team why you need it.

  • Track Your Symptoms: If you’re asking for a migraine device, track your headache days and medication use. If it’s for pain, document how that pain interferes with your sleep or mobility.
  • The Goal: Show your provider that your current treatment (usually medication) isn't providing the "quality of life" you’ve earned.
Step 2
The Initial Consultation

Your journey begins with a conversation. This can happen with your Primary Care Provider (PCP) or a specialist in a clinic like Neurology, Pain Management, or Mental Health.

  • Be Specific: Don't just ask for "help." Ask for a specific technology by name (e.g., "I’d like to discuss a trial for an sTMS migraine device").
  • Use the Secure Messaging Portal: We highly recommend using the My HealtheVet secure messaging system. This creates a permanent, written record of your request that your care team is required to address.
Step 3
The "Golden Ticket" (Form 10-10172)

If you receive care through the Community Care Network (CCN) or if your doctor is referring you to a specialized service, the most important document in your file is VA Form 10-10172, Request for Service (RFS).

  • Why it matters: This is the administrative trigger. When filled out correctly by your provider, it tells the VA exactly what equipment or service is being requested and provides the clinical justification.
  • Pro-Tip: If you see a doctor outside the VA, ensure they know that this specific form is required to get your device approved through VA procurement.
Step 4
The Prosthetics & DME Pathway

Most of the technologies we advocate for – like the MedaCube, Red Light Therapy wraps, and Neuromodulation devices – are managed through the Prosthetic and Sensory Aids Service (PSAS).

  • The Consult: Your doctor will put in a "Prosthetics Consult."
  • The Procurement: Once approved, the VA’s purchasing department orders the device directly from the manufacturer on the Federal Supply Schedule.
  • Delivery: In most cases, the device is shipped directly to your home or to your local clinic for a fitting and training session.
Step 5
Follow-Up & Training

VA regulations require that you are educated on how to use your new technology.

  • Manufacturer Support: For complex devices like the MedaCube or Neurofeedback systems, the manufacturer often provides the initial setup and training.
  • Outcome Tracking: The VA will want to know if the device is working. Keep tracking your symptoms so you can show the clinical benefit during your 90-day follow-up.

What to Do If Your Request Is Denied

Ask for the Reason

Is it a clinical denial (medical necessity) or an administrative rejection (wrong form)?

Request a Patient Advocate

Every VA facility has a Patient Advocate who can help resolve disagreements between you and your care team.

The Clinical Appeal

You have the right to appeal any medical determination. We can help you understand the steps to take to ensure your voice is heard.

Disclaimer At OPTI Vet Solutions, we’re Veterans helping other Veterans discover tools that can make a real difference. We’re not part of the U.S. Department of Veterans Affairs (VA) or any government agency – just sharing what’s worked for us and others in our community. Sometimes we earn a small commission when we help connect Veterans with products or technologies we believe in. That support helps us continue spreading awareness and education, but it never changes our message or mission. Everything shared here is for educational purposes only. Before starting any new therapy, device, or program, always talk with your healthcare provider. The final decision about using any health tool is between you and your care team.
